What Should Be in Your Mandatory Vaccination Policy?

As more and more employers across the country are implementing mandatory vaccination policies, you might be asking what that might look like for your organization. Here are the crucial parts that should make up your policy. Be sure to scroll all the way to the end for a free policy template you can download and customize.

  1. Explain who this policy applies to (staff, contractors, volunteers, remote staff, board members, etc.)

  2. Whether vaccinations are required or voluntary for staff

  3. If vaccinations are mandated only for certain job types (i.e. preschool teachers but not after hours custodian)

  4. Include the rationale for making this decision

  5. If you will make the vaccine available for employees

  6. How to get reimbursed for the cost of the vaccine

  7. What proof, if any, will need to be shown

  8. Who employees should contact if they are unable to comply or need an accommodation 

  9. Any consequences for those who choose not to get vaccinated (consequences might include more protective gear, unpaid leave or termination)

  10. Time period/deadline to get vaccinated by

If your organization is not mandating the COVID-19 vaccine but would like to encourage it, you may still want to issue a written policy encouraging COVID-19 vaccination and detailing where employees may receive the vaccination.  If you are providing any incentives for people to be vaccinated, you can include that as well.
